Job Description
We are seeking a Personal Assistant (PA) to support the CEO of a listed company. This is a high-trust, high-responsibility role that straddles both professional and personal domains. The successful candidate will; on behalf of the CEO; handle confidential matters with discretion and manage the CEO’s schedule and day-to-day.
Key Responsibilities
Calendar & Scheduling Management
Own and manage the CEO’s calendar – prioritizing meetings, anticipating scheduling conflicts, and ensuring strategic use of time.
Coordinate internal and external meetings, board commitments, and personal obligation with discretion.
Provide daily briefs and prepare the CEO with context for upcoming engagements.
Travel & Logistics
Plan and book all travel arrangements (airfare, ground transport, visas, accommodations) for both business and personal travel.
Create detailed travel itineraries and contingency plans.
Coordinate logistics across multiple time zones.
Administrative & Operational Support
Manage claims, reimbursements, and business expenses in a timely and accurate manner.
Handle and file confidential documents and maintain an organized digital and physical filing system.
Monitor, respond to, and draft correspondence and emails as needed.
Personal Assistance & Life Management
Assist with personal errands, appointments, and family-related logistics when requested.
Liaise with household staff, vendors, and service providers discreetly and professionally.
Manage gifts, reminders, and special events involving both professional and personal contacts.
Communications & Coordination
Prepare meeting materials, agendas, presentations, and follow-ups where required.
Interface with internal departments, board members, investors, and external stakeholders on behalf of the CEO.
Act as a point of contact for select matters and ensure clear and timely communication.
Special Projects
Assist the CEO with research, confidential initiatives, or one-off tasks that require focus and urgency.
Support the planning and execution of corporate events, investor meetings, or media engagements.
Candidate Profile
Must-Have Qualities
Proactive and highly organized
Strong discretion and emotional intelligence; able to manage confidential information without exception.
Fast, adaptable, and resourceful
Skills & Experience
Minimum of 5 years of experience in a similar PA or Executive Assistant role.
Fluent in English (spoken and written), Malay and Mandarin (spoken). We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace (Gmail, Calendar, Docs, Sheets).
Experience working in a high-performance, fast-paced corporate environment.
Work Style & Availability
Willingness to be available outside standard office hours when necessary.
Flexible, reliable, and able to travel occasionally if required.
Comfortable working in both corporate and private settings.
