Requirements
Language(s) Required: Mandarin, English and Bahasa Malaysia.
Education: Bachelor’s Degree in Business Administration, Management, or a related field preferred.
Experience: Minimum of 2 years of experience in a similar role, preferably in an immigration consultancy or related field.
Skills Required: Strong Organizational and Time, Management Skills, Excellent Written and Verbal Communication Skills, Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Ability to Work Independently and Prioritize Tasks, Maintain Strict Confidentiality and Professional Interactions with All Levels of Management, Staff, Clients, Government Departments, and Business Associates, Strong Interpersonal Skills and the Ability to Build Relationships with Stakeholders, Valid Driver's license and ability to drive and travel independently.
Responsibilities
Administrative Support:
Manage and maintain the Managing Director's schedule, including appointments, meetings, and travel arrangements.
Prepare and edit correspondence, communications, presentations, and other documents.
Handle incoming and outgoing communications on behalf of the Managing Director.
Organize and maintain files and records, ensuring they are up-to-date and easily accessible.
Meeting Coordination:
Schedule, coordinate, and organize meetings, including preparing agendas, taking minutes, and following up on action items.
Arrange and coordinate conference calls, video conferences, and other virtual meetings.
Travel Arrangements:
Arrange and manage travel plans, itineraries, and accommodations for the Managing Director.
Ensure all travel-related documents and arrangements are in order.
Office Management:
Oversee the day-to-day operations of the office, ensuring a smooth and efficient working environment.
Order and maintain office supplies and equipment.
Liaise with vendors, clients, and other stakeholders as required.
Project Assistance:
Assist the Managing Director with various projects, including research, data analysis, and report preparation.
Coordinate and manage special projects as assigned.
Client and Stakeholder Interaction:
Act as a point of contact between the Managing Director and internal/external clients and stakeholders.
Respond to inquiries in a timely and professional manner.
Handle confidential information with discretion and professionalism.
Independent Travel:
Be able to drive and travel independently as required for work-related tasks and responsibilities.
Other Duties:
Perform other administrative and support duties as required to assist the Managing Director and the organization.
