Job Responsibilities: -
Plan, organize and schedule meetings and appointments for Director as well as taking minutes of meeting.
Manage Director’s travel arrangements e.g. travel visa, flight, accommodation and transportation, as well as expenses claim.
Brief Director on meeting agendas beforehand and responsible for preparation of Director’s presentation slides, documents for meetings, briefing papers / reports, as needed.
Manage all Director’s correspondence including screening of phone calls, taking messages and attending to queries.
Manage confidential documents with discretion including data management, filing, etc.
Handle driver matters and other ad-hoc duties as assigned from time-to-time.
Monitor office supplies, stationeries and maintenance of office equipment and perform other administrative duties as needed.
Receipt, opening, faxing, arranging despatch of departmental mails, filing and scanning of documents and data entry.
Monitor the signing of directors’ resolutions, letters, loan documents, legal documents and others.
Arrange certified true copy of the documents or forms upon request, collating and binding of board and sub-committee meeting files.
Job Requirements: -
Applicants must have a Diploma / Bachelor’s Degree in Business Administration or in any related field.
Candidates with minimum 1-2 years of working experience as a secretary or administrative executive will be an added advantage.
Proficient in Microsoft Office e.g. Words, Excel and PowerPoint.
Independent, mature, analytical and possess critical thinking in problem solving approaches.
Able to work under pressure, tactful and poised in demanding environment.
Good in planning and time management, able to multitask and meticulous.
Good working attitude, committed, willing to take any challenges and team player.
Working Hour: -
Monday to Thursday: 9.00am to 6.00pm
Friday: 9.00am to 5.30pm
Saturday (Alternate): 9.00am to 12.30pm
